How to Register a Business Vehicle in Ontario

Are you purchasing a vehicle for your business or corporation in Ontario? If so, you will need to get a Registrant Identification Number (RIN) from Service Ontario to register the vehicle in Ontario. This blog post provides an overview of how to register a business vehicle in Ontario and how Downtown Notary can help you with this process.

What is a Registrant Identification Number?

A Registrant Identification Number, also known as a RIN, is a number assigned to a business by Service Ontario. A business needs a RIN when they are registering a vehicle in Ontario to get a vehicle permit, licence plate and licence plate sticker.

How do I apply for a RIN and register a business vehicle?

To request a RIN and register a business vehicle, you will need to take the following information to a Service Ontario location:

  • Proof of your business registration and registered business address:

    • For corporations: Articles of Incorporation

    • For partnerships: Business Name Registration

  • Two pieces of official business mail that contains the business name and registered business address, such as Canada Revenue Agency mail, utility bills or lease agreements

  • A sworn statement signed by a notary that confirms the person purchasing and registering the vehicle has the authority to so on behalf of the business

Your car dealership may also be able to send these documents to Service Ontario to request a RIN and vehicle registration on behalf of your business.

How do I create a sworn statement for a RIN?

The sworn statement for a RIN must include the following information:

  • Business name

  • Type of business (partnership or corporation)

  • Registered business address

  • Business telephone

  • Full legal name of the person signing the document

  • Position of the person signing the document (e.g., director, president, etc.)

  • A statement confirming the person signing the document has the authority to bind the business

To help you create your sworn statement, Downtown Notary has created a free template that you can download and customize to your business: Free Sworn Statement for Registrant Identification Number Template

Who needs to sign a sworn statement for a RIN?

The sworn statement must be signed by someone who has signing authority on behalf of the business:

  • For corporations: a director of the company

The sworn statement must be signed in the presence of a notary and then notarized (i.e., signed and stamped by the notary).
